This is the heart of the organization
that keeps SEADAC pumping. This program is responsible for all clerical, case
record keeping, billing, information technology and physical maintenance of
property.
Case records must be maintained accurately and confidentially.
In FY 2002 a new filing system was instituted to help keep an orderly track of
case records, simplify filing and management. This new system has been widely
accepted by staff and gets high marks over the previous system.
Billing
for services delivered is a very large part of the Support Services Program
functions. Almost all services are billed through the Illinois Department of
Human Services, Office of Alcoholism and Substance Abuse (OASA), using a billing
system called DARTS. OASA is the agency’s primary funding source. Accuracy is of
the utmost importance. The Data Entry Clerk has a history of almost a 100%
accuracy rate for thousands of transactions. This is key to keeping the agency's
state grant money flowing. Also important is billing clients and third-party
payers for SEADAC's services. In future fiscal years client fees and third-party
payers are going to be an increasingly important source of revenue.
Since 1998 SEADAC has been computerized with personal computers at each
staff member’s desk. The staff has made great strides in using their computers
to more efficiently carry out their duties. The primary functions computers
serve within the organization is financial management, OASA billing, case record
management, and access to information through the Internet. SEADAC has a
full-time Computer Technician on staff in addition to contract services with an
outside Computer Specialist.
Maintenance of the physical plant is an
ongoing struggle. The Board of Directors goal is to maintain a facility wherein
clients, visitors and staff are comfortable in an environment that is also
pleasant to the eye. SEADAC has a contract with an outside janitor service that
cleans SEADAC's offices in the evening and an in-house part-time maintenance
person to clean and do maintenance chores during business hours. There is also a
separate outside contract for HVAC maintenance.
